TIMETABLE

Introduction

The Timetable Module allows one to set up the time slots of the various school periods. The meeting times of subject classes and sports, athletics, gymnastics and swimming teams can then be set up, allowing one to easily see who is doing what and when.

Timeslots

Before we can work with the various timetables, the timeslots occupied by the timetables have to first be set up. Since everything in the school needs to be coordinated, there is only one time slot structure that all timetables adopt. Time slots are the time intervals that timetable events will occupy. E.g. the timetable event called Period 1 occupies time slot 8:00 - 9:00 each day.

 

Timetable Events

Any type of timetable adopts the structure of the time slots that underlie them. The structure itself consists of a series of color-coded events called timetable events. So these have to first be created. A timetable event, as its name implies, is an event occurring on a timetable.

Examples of such events are:

o Registration
o Assembly
o Period 1
o Period 2
o Tea Break
o Lunch Break

 

Timetable events consist of the following:

  • Name – The name of the event (e.g. Period 1).
  • Desc – An apt description of the event (e.g. First period of the day).
  • Tuition vs. non-tuition period - If tuition is to occur during the timetable event, then it’s a tuition period (e.g. Period 1) otherwise it’s a non-tuition period (e.g. Assembly).
  • Color – A distinguishing color (e.g. Blue).

 

Adding Events require the following details:

  • From – The starting time of the event.
  • To – the event’s ending time.

 

School Timetable

The school timetable is an overview of every activity occurring in the school at any given time.You can drill down into the various periods to see who is doing what and when - who is teaching/coaching what and who is taking the class or sport.

Who's Busy?

By simply clicking on a timetable event, you can see who is doing what:

Subject Classes:

  • Name - The name of the subject class
  • SGL - The subject, grade and level of the subject taught
  • Educator - The subject classes educator(s)
  • Venue - The venue where the class is being held

Educators:

  • Name - Title, surname, first name and employee number
  • Subject Class - The name of the subject class taught
  • SGL - The subject, grade and level of the subject taught
  • Venue - The venue where the class is being held

Learners

  • Name - Surname, first name and student number
  • Subject Class - The name of the subject class
  • SGL - The subject, grade and level of the subject
  • Venue - The venue where the class is being held

Teams

  • Name - The name of the team
  • SAG - The sport, age group and gender of the team
  • Coach - The team's coach(es)
  • Venue - The venue where the team is being coached

Coaches

  • Name - Title, surname, first name and employee number
  • Team - The name of the team
  • SAG - The sport, age group and gender of the team
  • Venue - The venue where the team is being coached

Who's not Busy?

Available Staff - All currently available staff - staff neither currently teaching nor coaching.

Since we know who is taking what and when - i.e. which learners and staff are taking which subjects and sports and when, all this information can be viewed from within the main school timetable.

 

Subject Class Timetables

A subject class timetable is the type of timetable used by all subject classes to book their meeting times.

 

Team Timetables

The various team timetables are as follows:

  • Sports Team Timetables
  • Athletics Team Timetables
  • Gymnastics Team Timetables
  • Swimming Team Timetables

Only once learners and staff members are assigned to these groups will the team practice times pull through to the learner and staff individual timetables.

 

Learner Timetables

A learner timetable pertains to a particular learner - so that he or she can determine, at a glance, all his or her commitments (what subjects and sports are taken and when). Such commitments are the timetable events pulled from all group (subject class and team) timetables.

A Practical Example

Tim belongs to:

• Subject class BIO-08-AL
• Subject class SCI-08-AL
• Sports team SOC-B13-C

All the events pertaining to the timetables of each of the above are pulled through to Tim's personal timetable.

So instead of having to go into three different timetables to check his commitments, he simply has to view his personal timetable (which consolidates everything for him).

 

Since the events of the learner timetable are a mere consolidation they cannot be changed from within the learner timetable. You have to go to the source timetables (subject class and team timetables) to change them. Changes within the source timetables will then reflect on all applicable personal timetables.

Printing

Class administrators may wish to give each of their learners a printout of all commitments once all timetables have been finalized.

 

Staff Timetables

A staff timetable pertains to a particular staff member - so that he or she can determine, at a glance, all his or her commitments (what subjects and sports are taken and when). Such commitments are the timetable events pulled from all group (subject class and team) timetables.

 

A Practical Example

Mr. Smith is:

• The educator for subject class BIO-08-AL
• The educator for subject class SCI-08-AL
• The coach for sports team SOC-B13-C

Where Is?

Establish the probable whereabouts of a person.

Details:

  • Current probable whereabouts - The venue where the person should be
  • Gathering - The name of the gathering (eg if there is a group of learners gathered for subject class SCI-08-H1, then SCI-08-H1 is the gathering
  • Doing - What the gathering is doing (eg: being taught Science)
  • Mobile - The mobile number of the person


If dealing with a learner:

  • Staff - The responsible member of staff
  • Mobile - The mobile number of that member of staff, so that we can contact them if we cannot get hold of the learner. This is often useful in the case where the learner is participating in a sporting activity at the time.

School Timetable

Shows the period structure of the school timetable.

Details:

  • Event - Name of the timetable event (eg: Period 1)
  • Time - Start and end times of the timetable event

 

Timetable Events

Lists all the timetable events available to be dragged and dropped onto the school's timetable when setting up Time Slots.

Details:

  • Name - Name of the timetable event (eg: Period 1)
  • Description - Description of the timetable event (eg: First period of the day)

 

Where Is?

Shows the probable whereabouts of a school member (staff member or learner) as well as how to contact them.

Details:

  • Venue - The venue where the person should be
  • Gathering - The name of the gathering
  • Doing - What the gathering is doing
  • Mobile - The mobile number of the person

If dealing with a learner:

Learner Timetable

The personal timetables of learners.

Details:

  • Period - The name of the timetable event (eg: Period 1)
  • Gathering - The name of the gathering (eg: if the gathering is a subject class, then it is the name of the subject class - if a team, then the name of the team)
  • Times - Start and end times of the timetable event (period)

 

Staff Timetable

Shows the times and commitments of staff members (educators and coaches).

Details:

  • Period - The name of the timetable event (eg: Period 1)
  • Gathering - The name of the gathering (eg: if the gathering is a subject class, then it is the name of the subject class - if a team, then the name of the team)
  • Times - Start and end times of the timetable event (period)

 

Subject class Timetable

Shows the meeting times of a particular subject class.

Details:

  • Period - The name of the timetable event (eg: Period 1)
  • Subject Class - The subject class name
  • Times - Start and end times of the timetable event (period)\

 

Team Timetable

Shows the meeting times of a particular team.

Details:

  • Period - The name of the timetable event (eg: Practice 1)
  • Team - The name of the team
  • Times - Start and end times of the practice session
