Introduction

The Attendance Module handles the taking of registration for both staff and learners. Numerous kinds of absentee reports and statistical trends can also be printed out for management purposes.

Attendance Registers

TS School has a number of attendance registers whereby to log both learner and staff attendance:

  • Staff Attendance Register - Used to log staff attendance, usually by the school secretary. This is typically done each day at around mid-day once it's clear who's absent and who's late.
  • Admin Class Attendance Register - Used by all administration classes to log learner attendance. Roll call usually takes place at the beginning and end of each day.
  • Subject Class Attendance Register - Used by all subject classes to log learner attendance. This is hardly ever done in practice, though TS School caters for it.
  • Dormitory Attendance Register - Used by all dormatories to log learner attendance. Roll call can be taken up to as much as five times a day.
  • Sports Team Attendance Register - Used by all sports team coaches to log player attendance.
  • Athletics Team Attendance Register - Used by athletics trial team coaches to log athlete attendance.
  • Gymnastics Team Attendance Register - Used by athletics trial team coaches to log gymnast attendance.
  • Swimming Team Attendance Register - Used by swimming trial teams coaches to log swimming attendance.

 

Format

Every attendance register has the same format as follows:

Legend

  • Late - Indicates where persons are late
  • Absent - Indicates where persons are absent
  • Doc Cert - Indicates that a doctor's certificate accompanies an absenteeism (this is usually placed on the last in a range of days that a person was absent)
  • Weekday - Indicates weekdays (Mon - Fri)
  • Weekend - Indicates weekends (Sat & Sun)
  • Today - Indicates the current day
  • Holiday - Indicates a school holiday

Selection

  • Month - Indicate the month with which you wish to work (defaults to the current month).
  • Register # - Select which attendance register you wish to work with. This allows you to take registration up to 5 times a day.

 

Taking Attendance

Everyone is always deemed present unless stipulated otherwise. To stipulate otherwise, simply double-click on the correct cell (that intersects a person with a day - usually the current day, since attendance logged should always be for the current day). Doing so will call the Attendance Details screen.

Details

The details of the absentee are as follows:

  • Absent or Late – Indicate whether or not the person is actually absent or just late.
  • Mins late – If late, then indicate by how many minutes. Even hours need to be converted to minutes. E.g. of the person is 1 hour 10 minutes late, then the number of minutes is 60+10 = 70.
  • Reason – The reason for being absent or late. Examples: Traffic jam, The flu, On leave
  • Doctor’s Certificate Ref # - If the person in question has been absent, and returns with a doctor’s certificate then proceed as follows:

Give the certificate a unique reference number. This number is needed in order to locate the actual doctor’s certificate pertaining to the person’s absence.

We recommend basing the number on the person's number and the date of the certificate instead of using any doctor's reference numbers since these may not always be unique from doctor to doctor.

A Practical Example

Lets say that you received a doctors certificate dated the 23 Aug 2003 from a staff member whose employee number is 2432. The reference number might then be 2432-030823. If another doctor was consulted on the same day then the other reference number might then be followed by a -2 to indicate the second certificate: 2432-030823-2.
